Cancellation and Refund Policy

Live Events - In Person or Online
We consider your registration as a commitment to attend our courses, whether held in person or online. Due to the intensive nature and limited availability of our courses, full refunds can only be provided if another participant is available to take your place. We will do our best to find a suitable replacement from our waitlist.
In case of cancellation, we offer three options, provided that a replacement for your spot can be found:
- Transfer your registration to another course in the future.
- Credit your account, allowing you to purchase a course when you are ready.
- Process a refund according to the terms outlined below.
Refund terms for live events (in-person or online):
- If a replacement participant is found, a refund will be issued to the original payment method within 5 business days.
- For cancellations made more than 90 days before the event, you will receive an 80% refund (less any non-refundable deposit) or have the option to transfer 100% of the tuition to another program or date.
- For cancellations made between 45 and 90 days before the event, you will receive a 50% refund (less any non-refundable deposit) or have the option to transfer 100% of the tuition to another program or date.
- For cancellations made less than 45 days before the event, the entire registration fee is non-refundable and non-transferable.
A 5% non-refundable processing fee will be applied to any refunds issued within the guidelines of this cancellation policy.
All cancellation requests must be submitted in writing from the email address associated with the order.
In the rare event that a course is cancelled or rescheduled by the Institute of Digital Dentistry due to not reaching the minimum required capacity, we will offer a full refund or transfer of tuition to a future course. We will make every effort to give you as much notice as possible. However, we are not responsible for any cancellation or change fees assessed by airlines, hotels, or other third-party providers.
Online Courses and Course Bundles
Change of Mind
We do not offer refunds or cancellations for change of mind. By completing your purchase, you are committing to the course or bundle and its full purchase price.
Cancellations Before Accessing Content
Order cancellations may be accepted if the request is received before course content has been accessed, subject to a cancellation fee as outlined below.
"Accessing content" means commencing playback of any course video or lesson within the purchased course or bundle, as recorded by the learning platform. Logging in to the learning platform, viewing the course dashboard, or browsing course listings does not constitute accessing content.
The Purchaser's inability to locate, navigate to, or commence course content within the learning platform does not constitute grounds for a refund. Orientation resources, platform walkthroughs, and direct support from our team are available to all enrolled students to assist with getting started.
A cancellation fee of 20% applies. This fee is calculated on the purchase price of the course or bundle at the time of order. The purchase price means the total amount the Purchaser committed to pay for the course or bundle (excluding payment plan fees), after any promotional discounts have been applied. For the avoidance of doubt, the cancellation fee is based on this purchase price regardless of how much has been paid to date under a payment plan.

Cancellations After Accessing Content
We cannot offer cancellations or refunds on online courses, course bundles, digital lectures, recordings, or live broadcasts once the content has been accessed. Content is considered accessed once the Purchaser has commenced playback of any course video or lesson, as recorded by the learning platform.
Payment Plans
If you purchased a course or bundle on a payment plan and your cancellation is approved, the cancellation fee will be deducted from the total amount you have paid to date. Any remaining balance owed to you will be refunded to the original payment method. All future scheduled payments will be cancelled.
If the cancellation fee exceeds the total amount you have paid to date, the outstanding balance of the cancellation fee remains payable.
Example: If you purchased a course with a purchase price of $1,990 on a four-payment plan and have made one payment of $550 (inclusive of payment plan fees), the 20% cancellation fee would be calculated on the $1,990 purchase price, totalling $398. This fee would be deducted from the $550 you have paid, and you would receive a refund of $152. All remaining scheduled payments would be cancelled.
Example with a discount: If you purchased a course with a list price of $1,990 but paid a founders rate of $1,592 during a course launch, the 20% cancellation fee would be calculated on $1,592, totalling $318.40.
Payment Plan Fees
Payment plan fees are a financing charge for the convenience of paying in instalments. In the event of a cancellation, payment plan fees already paid are non-refundable.
Course-Specific Guarantees
Certain courses may be offered with a course-specific guarantee. These guarantees are designed to support your success and may include extended access to an educator, additional support sessions, or other resources to help you achieve your learning outcomes. Course-specific guarantees do not include refunds. The terms of any course-specific guarantee will be outlined on the relevant course page at the time of purchase.
Refund Processing Times
Once a refund is processed, it may take 7 to 10 business days before appearing on your billing statement. Refunds are issued to the original payment method used at the time of purchase.
Image, Video and Audio Media Release
By attending any Institute of Digital Dentistry event, you give permission for the Institute of Digital Dentistry to capture and use images, video, and audio of you for promotional purposes. This includes, but is not limited to, all media, brochures, posters, website content, social media, and other media both online and in print.
